January Meeting Minutes

Meeting called to order: 5:30pm

Treasurer’s Report:

  • Bank balance is $92, 057.97. Grant total is $30, 228.78
  • Grant in aid from the regional district reimbursed us $2,791.88 for bills such as gas and electricity.
  • Soup Group spent $530.36 for the hams for the Christmas hampers. Thank you to Cory at Save on Foods for giving us 25% off.

Old Business:

  • Insurance for Parent and Tot costs $250.00 we have gone ahead and added this?. Still add to the insurance. Art is going to pay our insurance and be reimbursed.
  • Policies and Procedures – first draft has been handed out, reviewed at the next meeting for final changes. 
  • Hall Declutter date – declutter will include things for junk in the trunk, dump run, etc. Declutter will happen on January 29th @ 9am. We will need more totes, but possibly we will purchase these after the fact so we know what we need. We should also do a General supplies buy before the declutter event so we have things like garbage bags, cleaner etc. 
  • Christmas Light contest Gift Basket recipients were : Tammy Huidobro, Reid Brownscombe and Chris Smith
  • Jim Buxton is still working on the wood wall in the hall – Putting a clear coat on and pushing the electrical outlets further out to be flush with the wood.
  • Book Roof repair with O’flynn – We should also look at doing insulation at the same time. Kim will follow up with O’Flynn’s and see if there is a company they are paired with that will do the insulation or if they will do it themselves. Kim will also let them know that we are going to keep the old tin.
  • Christmas Hampers were a success again. Thank you Lisa. There were 33 hampers given out.
  • 7 people registered for Parent and Tot – Would have been approx. 14 kids attending but parent and tot was canceled due to weather. 

New Business:

  • Insurance renewal in February, What event insurance changes do we want to make ? We will review the current list of events and add/subtract what we need over the next couple weeks to have it updated before the renewal date. 
  • Grant In AIDS from the regional district. We have received TWO grant in aid from the regional district. One is strictly for insurance and a total of $13,687. Art explained that this is less than the insurance bill from last year due to others applying for the grants as well. Our second grant is for insurance and repairs and a total of $55,000, This grant will be put towards the repair and insulation of our roof in the spring.
  • RDFFG Grounds inspection letter- Requires action within 6 months of November 27th. This will be on our spring clean up list. Revisit in April
  • Bulletin Board at the Book Nook – Look for a single paper holder that we could install on the inside of the book nook door.  
  • Thank you : – Residence of the Paradise Motel for $100.00 donation to Soup Group
    • Gary and Deb Debruin for $200.00 Donation to Soup Group
    • Mark Weldon for $2,000.00 donation to community association
